You don’t need 40 AI tools. You need some time back.
Start with a task you repeat, a result you can check, and information you can safely provide. That gives you a useful first experiment without turning your week into another technology project.
Turn repeated questions into draft replies
Write down three questions customers ask often. Supply the correct answers and ask AI to create friendly reply templates.
Prompt: “Using only these business details, draft three short replies about our booking deadline, delivery area, and ordering process. Keep the tone warm and direct. Don’t add policies or promises.”
Read the replies carefully. Once approved, save them where you answer messages. Personalize them before sending so a customer with a specific concern gets a relevant answer.
Turn rough notes into a next-step list
After a planning conversation, you might have notes scattered across a page. AI can help organize notes you provide.
Prompt: “Organize these notes into decisions made, tasks, owners, deadlines, and unanswered questions. If an owner or deadline isn’t stated, mark it as not assigned. Don’t guess.”
Remove identifying or confidential details before pasting. Check the output against the original notes. A tidy list is only helpful if it preserves what was actually agreed.
Draft a checklist for work you already understand
Pick a familiar process: preparing a delivery, packing an order, or following up after an event. Describe your current steps and ask AI to organize them into a checklist.
Use the checklist on the next real job. Add what was missed and remove what doesn’t fit. Your experience is what makes the process reliable.
Measure whether it saves time
Suppose a task normally takes 20 minutes. Using AI takes five minutes to prepare the request and ten minutes to review the draft. You’ve saved five minutes, not 20.
That might still be worthwhile if you repeat it often. If reviewing takes longer than doing the task yourself, choose a better use case or improve the instructions.
Keep customer commitments, pricing decisions, and final approvals with a person. For this first experiment, have AI prepare drafts rather than sending or changing anything automatically.
Choose one task this week. Make it work, save the prompt, and repeat it before adding another.
